Related experience includes knowledge of computer office products including document, spreadsheet, database, and presentation applications. Familiarity with office machines (i.e., photocopying equipment, microfilm machine, facsimile) necessary. Good verbal and written communication skill are also necessary. Standard typing and transcription skills optional.

Job Description: Job Summary

Perform a variety of standard, advanced and confidential secretarial and administrative activities. Draft memoranda and prepare correspondence and reports. Maintain electronic and manual files. Answer and screen telephone calls, and open and distribute mail for department or unit. Collect, compile and analyze moderately complex data and information. Compose straightforward written descriptions of results.

Perform all duties and responsibilities in compliance with standard operating procedures, Safety Quality Identity Potency Purity (SQUIPP), regulations outlined in the Code of Federal Regulations (CFR), Occupational Safety and Health Administration (OSHA) and other applicable Federal, state and local regulations.

Responsibilities

1. Perform standard and advanced secretarial activities. Transcribe notes, tapes and handwritten drafts into a variety of documents including correspondence, agendas, releases, minutes, speeches, testimony, position papers, memoranda and reports, charts, tables and spreadsheets.

2. Compose routine correspondence and memoranda. Prepare and sign routine, non-technical correspondence in own or supervisor's name.

3. Screen telephone and office callers and resolve routine inquiries. Answer routine requests and direct others to supervisor, appropriate staff member or another office.

4. Schedule and maintain calendar of appointments, meetings and travel itineraries. Set tentative appointments without prior approval.

5. Arrange travel for staff and coordinate general and logistical support for meetings.

6. File and retrieve required material, establish new folders and sections as needed and periodically purge files of outdated materials. Maintain office files.

7. Perform other related duties as necessary.

This position is an exposure determination 0 in view of the fact that normal work involves no exposure to blood or blood components and/or human body fluids or tissue samples as a result of splashes, spills, and/or needlesticks or performance of or assistance in first aid.
